Artist Management Assistant

Young Concert Artists seeks a proactive and ambitious individual with a love for classical music to join as Artist Management Assistant. Reporting to the Senior Director of Artist Management & Booking, the Artist Management Assistant provides comprehensive administrative, operational, and logistical support to the Artist Management department. This role is responsible for maintaining departmental systems and records, supporting booking and event logistics, coordinating artist-related documentation, and ensuring the smooth execution of artist management processes. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities in a fast-paced performing arts environment.

Job Duties to Include:
- Maintain and update the Overture database, ensuring artist and engagement information is accurate and current.
- Track and follow up on outstanding artist and presenter contracts to ensure timely execution.
- Coordinate the industry contact invitation process for all YCA events.
- Prepare, format, and distribute monthly booking reports.
- Manage conference registrations and coordinate all associated travel and accommodation logistics.
- Prepare and oversee departmental documentation, including Artist Management agreements for new artists, board reports, and other administrative materials.
- Collect and organize onboarding documentation for newly selected YCA artists following auditions.
- Draft, format, and distribute artist concert programs and related performance materials.
- Track departmental receipts and expenses and assist with expense reporting and submission.
- Coordinate scheduling for all Artist Management meetings, including departmental meetings, one-on-one meetings, booking meetings, artist meetings, and incubator meetings.
- Monitor and follow up on outstanding artist payments, coordinating with internal departments as needed.
- Plan and execute Artist Management & Booking Department related logistics for YCA events, including presentations, auditions, development events, artist meetings, and other organizational activities.
- Provide general administrative support to the Artist Management team and contribute to the efficient operation of the department.
- Perform other duties as assigned in support of Artist Management initiatives.
Qualifications:
- Exceptionally organized, detail-oriented.
- Excellent written and verbal communication and interpersonal skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Familiarity with Overture Booking Agency Software and Google Suite or the ability to quickly learn new technologies.
- Collaborative team player with strong people skills.
- Experience coordinating travel, meetings, and event logistics.
- Ability to handle confidential information with professionalism and discretion.
- Collaborative, proactive, and adaptable with strong problem-solving skills.
- Interest in the performing arts and artist management is highly desirable.

Salary Range: $55,000 - $60,000

YCA’s offices are located at 57th and Broadway in NYC. Our staff operates on a hybrid remote/in-office schedule. Occasional travel will be required for this position on an assigned basis.
